This policy explains what personal data we collect, why we collect it, who we share it with, how long we keep it, and the choices you have. It applies to the enquiry forms, the planning tool, the chat assistant, call bookings, our newsletter, email and WhatsApp correspondence, document upload links, the client portal, quotes, engagement letters and invoices, and the analytics and advertising tools described in our cookie policy.
Who is responsible for your data
Velarozone, the brand of Velarozone For Business men & women Services L.L.C S.O.C, a company licensed by the Dubai Department of Economy and Tourism (DET), licence no. 1653139, is the controller of personal data collected through this website and the services it gives access to.

What we collect
We only ask for what an adviser needs to assess and respond to your enquiry.
- Contact details you submit: name, email address, phone or messaging handle, and country of residence.
- Enquiry context: your activity, target markets, ownership, team plans, timing, and any notes you write.
- Planning tool answers, so an adviser can review your responses with you.
- Technical data: IP address, device and browser type, referring page, and pages viewed.
- Chat conversations: what you write to the chat assistant on this website and its replies.
- Bookings: the time you choose and the details you give when you book a call.
- Correspondence and documents: messages you send us by email or WhatsApp, and documents you upload through a secure link we send you.
- Engagement and billing records: quotes, the engagement letter you accept โ with the date, time, IP address and browser recorded with your electronic signature โ invoices and payment records.
- Newsletter: your email address and subscription choices, if you subscribe to updates such as the register change index.
- Advertising and referral identifiers: when you arrive from an advertisement or a referral link, the identifier added to the link (such as gclid or fbclid), the campaign and the page you landed on, so we can tell which advertising or referral led to an enquiry.
What we do not want you to send
Please do not upload passports, bank statements, or other sensitive documents through this website. After an adviser has qualified your enquiry, we will share an approved secure process.
Why we use it
We use your data to respond to your enquiry, to prepare an initial assessment, to coordinate applications you instruct us to prepare, to deliver and invoice work you engage us for, to meet our own record-keeping and anti-money-laundering obligations, to send newsletters you have subscribed to, to measure which advertising brings enquiries, and to improve the website.
We rely on the steps needed to enter into or perform a service agreement for handling enquiries and engaged work, on our legal obligations for record-keeping and anti-money-laundering checks, and on your consent for newsletters and marketing messages. For analytics and advertising measurement we rely on your consent where the law of your location requires it (the European Union, the European Economic Area, the United Kingdom and Switzerland), and elsewhere on our legitimate interest in understanding how people find and use the website, which you can refuse at any time by choosing Decline in the cookie banner.
Who we share it with
We share personal data with the service providers listed below, who run parts of our service for us, and โ only where you instruct us โ with authorities, free-zone registries, banks, licensed institutions, and professional advisers involved in your matter.
We do not sell personal data. Providers act on our documented instructions and are bound by confidentiality terms.
- Hosting and data storage: Vercel, which hosts this website, and Supabase, which hosts our database and file storage.
- Email and messaging: Resend, which sends and receives our email, and Meta Platforms, which carries our WhatsApp messages.
- Bookings: Google, whose calendar schedules the calls you book.
- Chat assistant: an AI model provider, Anthropic or OpenAI, which receives what you type into the chat in order to write the reply.
- Analytics: Google Analytics, Microsoft Clarity and Yandex Metrica, which measure how the website is used. The cookie policy describes each.
- Advertising: Google Ads, Meta and OpenAI measure whether a visit that began with their advertisement led to an enquiry or a booking. Where you give your email address or phone number in an enquiry or booking, it may be shared in hashed (irreversibly scrambled) form with advertising platforms we use, such as Google, Meta and LinkedIn, so they can match the enquiry to the advertisement.
International transfers
Most of the providers above process data outside the United Arab Emirates โ principally in the United States and the European Union, and in Russia for Yandex Metrica. Where data leaves the UAE it is transferred under the provider's contractual data-protection terms, and we send only what the purpose needs.
How long we keep it
Chat conversations that do not lead to an enquiry are deleted automatically once they have been inactive for 24 months. Other enquiry records are kept while we need them to respond to you and follow up, and are deleted when you ask us to. Client records are kept for the period required by applicable UAE record-keeping and anti-money-laundering rules. Newsletter subscriptions are kept until you unsubscribe.
Your rights
You can ask for a copy of your data, ask us to correct or delete it, object to or restrict certain processing, and withdraw consent to marketing at any time. Write to us using the contact details above and we will respond within a reasonable period.
You can unsubscribe from the newsletter with the link in any issue, and change your analytics and advertising choice as the cookie policy describes.
Security
Data submitted through this website is transmitted over an encrypted connection and stored with access controls. No system is completely secure, so please do not send sensitive identity or financial documents through the website.
Changes to this policy
We update this policy when what we collect, or who we share it with, changes. Last updated: 15 September 2025.
